Site Accountant

Job Purpose

To oversee and control the financial activities of multiple coffee processing sites, ensuring proper cash management, accurate accounting records, timely tax and pension payments, compliance with company procedures, and effective financial control. The position provides operational support and financial oversight to Site Cashier Accountants and regularly travels between assigned coffee sites.

Key Responsibilities

• Provide and control operational cash required by Site Cashier Accountants based on approved company procedures.
• Supervise and review the financial activities of Cashier Accountants across assigned coffee sites.
• Review cash payments, receipts, supporting documents, and daily cash reports.
• Conduct regular and surprise cash counts and cash reconciliations at assigned sites.
• Verify that expenditures are properly authorized and supported by appropriate documents.
• Review site financial records and identify errors, irregularities, or control weaknesses.
• Monitor cash balances and ensure proper accountability and timely settlement of advances.
• Conduct regular site financial reviews and internal control checks.
• Verify payroll, labour payments, purchasing payments, and other site-related financial transactions.
• Prepare, coordinate, and follow up on applicable tax payments and ensure timely settlement with the relevant government authorities.
• Ensure proper calculation, reporting, and timely payment of employees’ pension contributions and other applicable statutory deductions.
• Maintain proper records and supporting documents for tax, pension, and other statutory payments.
• Reconcile site cash, bank transactions, advances, taxes, pension, and other financial records.
• Prepare consolidated financial and cash reports for the assigned sites.
• Follow up on outstanding advances, unsettled payments, and financial discrepancies.
• Provide guidance and support to Site Cashier Accountants on accounting and financial procedures.
• Report financial irregularities, suspected misuse of funds, or control issues to the Finance Manager.
• Coordinate with Site Managers, HR, Procurement, Store, and Head Office Finance as required.
• Travel regularly between assigned coffee sites to conduct financial supervision and control activities.
• Perform other finance and accounting duties assigned by the Finance Manager.
