Warehouse Management

• Manage day-to-day warehouse operations and ensure orderly, safe and efficient storage.
• Establish appropriate warehouse locations, bin structures, labeling and identification systems.
• Segregate raw materials, packaging, finished goods, spare parts, rejected, damaged and returned stock.
• Maintain housekeeping, security, access control and appropriate storage conditions.
• Protect inventory from theft, damage, contamination and deterioration.

• Oversee receiving against approved purchase orders and supplier documents.
• Verify quantity, item code, unit of measure and condition before acceptance.
• Ensure GRNs and receiving documents are complete and properly filed.
• Ensure received materials are promptly placed in designated locations.
• Escalate purchase-order, delivery and physical-receipt discrepancies.

• Control material issues against authorized requisitions and production requirements.
• Ensure production issues and material returns are properly documented.
• Control internal transfers and finished-goods movements within delegated authority.
• Ensure dispatches are supported by approved documentation.

• Maintain accurate physical and ERP inventory balances.
• Establish and manage cycle-count and periodic physical inventory schedules.
• Lead monthly, quarterly and annual stock counts with Finance and relevant departments.
• Investigate variances and prepare reconciliation and variance reports.
• Ensure no stock adjustment is processed without investigation and approval.
• Monitor slow-moving, obsolete, damaged and expired inventory.

• Ensure all warehouse transactions are recorded accurately and on time in the ERP.
• Review item code, quantity, unit of measure, location and transaction type.
• Coordinate correction of posting errors with Finance/ERP users.
• Maintain accurate warehouse master data.
• Support ERP implementation, process improvement and user training.

• Coordinate warehouse month-end and year-end cut-off procedures.
• Ensure receipts, issues, transfers and returns are recorded in the correct period.
• Provide Finance with inventory movement reports and reconciliation schedules.
• Support inventory valuation and warehouse-to-ledger reconciliation.
• Escalate material stock variances to the Finance Manager.

• Coordinate material availability and requirements with Production.
• Coordinate expected deliveries and receiving schedules with Procurement.
• Coordinate finished-goods availability and dispatch with Sales/Dispatch.
• Monitor storage capacity and risks of stock-outs or excess inventory.

• Supervise warehouse staff and assign daily responsibilities.
• Set work schedules and monitor staff performance and discipline.
• Train staff on procedures, documentation, ERP transactions, controls and safety.
• Promote accuracy, accountability and segregation of duties.

• Maintain complete and audit-ready warehouse records.
• Coordinate responses to internal and external audit observations.
• Implement approved corrective actions and monitor closure.
• Review warehouse processes and recommend improvements to reduce losses and errors

• Accurate physical and ERP inventory records.
• Controlled receiving, storage, issue, transfer and dispatch processes.
• Timely stock counts and reconciliations.
• Documented investigation of inventory variances.
• Control over damaged, obsolete and slow-moving stock.
• Complete month-end warehouse cut-off.
• Efficient storage utilization.
